Managing Your Team

Accessing the Team page

Navigate to Team from the dashboard. The Team page is your central hub for managing everyone in your program.

Team list

The team list shows all program members in a sortable table. Each row displays:

  • Name — The resident’s display name.
  • Email — The email address used for sign-in and notifications.
  • PGY Level — Their current post-graduate year.
  • Color — The color assigned for visual identification on schedules.
  • Role — Resident, Chief, or Admin.
  • Status — Active, Invited (pending acceptance), or Inactive.

Inviting a new resident

  1. Click Add Resident at the top of the Team page.
  2. Enter the resident’s name, email, and PGY level.
  3. Select their role — Resident, Chief, or Admin.
  4. Click Send Invitation.
  5. The resident receives an email with a link to create their account and join your program.

Once they accept the invitation, their status changes from Invited to Active and they appear on your scheduling roster.

Editing a resident

Click on any resident in the team list to open their detail panel. From here you can edit:

  • Name — Update their display name.
  • PGY Level — Change their post-graduate year (e.g., at the start of a new academic year).
  • Color — Override their automatically assigned color.
  • Role — Change between Resident, Chief, and Admin.
  • Active status — Toggle whether they are active in the program.

Changes are saved immediately.

Resending invitations

If a resident has not yet accepted their invitation, you will see a Resend Invitation option on their detail panel. This sends a fresh invitation email with a new link.

Removing a resident

To remove a resident from future scheduling, deactivate them by toggling their active status to inactive. Deactivated residents:

  • No longer appear in scheduling dropdowns or assignment lists.
  • Cannot sign in to the application.
  • Retain all historical assignments, so past schedules remain accurate.
Admins are excluded from schedule participation. If someone needs to both manage schedules and take calls, assign them the Chief role instead.

Color assignment

Each resident is automatically assigned a unique color when they are added to the program. These colors are used throughout the schedule views for quick visual identification — on the calendar, in the master schedule grid, and in call assignment lists.

You can manually override a resident’s color from their detail panel if needed.
