General

What browsers does CallGrid support?

CallGrid works best in modern browsers — Chrome, Firefox, Safari, and Edge. We recommend keeping your browser up to date for the best experience.

Is CallGrid free?

CallGrid is currently in beta. Contact us for pricing information.

Is my data secure?

Yes. CallGrid uses encrypted connections (HTTPS), secure authentication, and your data is stored in an isolated database. We never share your data with third parties.

Scheduling

How does the automatic scheduler work?

The scheduler uses a deterministic algorithm that respects all your configured rules — consecutive call limits, PGY restrictions, time-off requests, and more — while balancing call counts fairly across residents. You configure the rules, and the scheduler handles the rest.

Can I edit the schedule after it’s published?

Yes, as long as the schedule is not locked. You can make manual changes to published schedules. Residents are notified of any changes that affect their assignments.

What happens if the scheduler can’t fill a slot?

The scheduler shows you which slots could not be filled and why. Common reasons include time-off conflicts, PGY restrictions, or no eligible residents for a given service. You can then manually assign those slots or adjust your rules and re-run the scheduler.

If the scheduler leaves slots unfilled, check the validation panel for specific details on what prevented assignment.

Account

I didn’t receive my invitation email. What should I do?

Check your spam or junk folder first. If the email is not there, ask your program admin to resend the invitation from the Team page.

Can I change my email address?

Contact your program admin to update your email address.

I forgot my password. How do I reset it?

Click “Forgot password?” on the sign-in page. You will receive an email with a link to reset your password. The link expires after a short time, so use it promptly.

Swaps & Time Off

Why can’t I see the Swap Requests page?

Swap requests are only available in Call scheduling mode. If your program uses Shift mode, swaps are not currently supported.

How far in advance should I submit time-off requests?

Submit time-off requests before the schedule is generated for the best chance of approval. Requests submitted after the schedule has been published depend on whether adjustments can still be made by your program admin.

As a general rule, the earlier you submit a time-off request, the more likely the scheduler can accommodate it without conflicts.
