Program Settings

Accessing settings

Navigate to Settings from the dashboard. Only admins and chiefs can view and modify program settings.

Program information

Edit your program’s name. This is the name displayed throughout CallGrid — on the dashboard, in schedules, and in notifications.

Scheduling mode

Choose the scheduling mode that matches how your program organizes call:

  • Call mode — Traditional call scheduling with defined roles like Day Call, Night Call, Night Float, and Jeopardy. Residents are assigned to call slots on specific dates.
  • Shift mode — Shift-based scheduling with locations and shift templates. Residents are assigned to shifts with specific start and end times.

Your scheduling mode determines which editor and scheduler are used throughout the app.

Time-off configuration

Configure how time-off requests work for your program:

  • Max vacation days per year — The maximum number of vacation days each resident can request in an academic year.
  • Max no-call requests per year — The maximum number of no-call requests each resident can submit.
  • Request types — Enable or disable specific request types based on your program’s needs:
    • Vacation
    • No-Call
    • Wish Off
    • Need Off
    • Request On

Disabled request types will not appear as options for residents when they submit time-off requests.

Academic year

Set the start month for your academic year (e.g., July for most US residency programs). This determines how schedule blocks, years, and reporting periods are organized throughout CallGrid.

PGY levels

Set the maximum PGY level in your program. This is used for PGY-based rule restrictions and determines the available PGY options when adding residents.

Night float

Toggle whether your program uses night float rotations. When enabled, night float appears as an available service and call role throughout the scheduling tools.

Review your settings before the start of each academic year to make sure everything is up to date.
