Schedule Import

Overview

If you have an existing schedule in a spreadsheet, you can import it into CallGrid instead of entering assignments manually. This is especially useful when transitioning from another scheduling system or when you have a large number of assignments to enter at once.

Supported formats

The importer accepts the following file types:

  • Excel.xlsx and .xls files
  • CSV.csv files

Import steps

  1. Navigate to Import Schedule from the dashboard.
  2. Upload your spreadsheet file.
  3. Map columns — Tell CallGrid which columns in your spreadsheet correspond to resident names, dates, roles, services, and any other fields. The importer shows a preview of your data to help with mapping.
  4. Review validation results — The importer checks for errors such as unrecognized resident names, invalid dates, missing required fields, or duplicate entries. Each issue is reported with the relevant row number.
  5. Preview the mapped data — Confirm that the assignments look correct before committing.
  6. Click Import to commit the assignments to CallGrid.

Error handling

If the importer finds issues during validation, it reports them with specific line numbers and descriptions. Common issues include:

  • Resident names that do not match any team member in CallGrid
  • Dates that fall outside the selected schedule block
  • Roles or services that do not exist in your program
  • Duplicate assignments for the same resident on the same date and role

Fix the issues in your spreadsheet and upload it again. The importer will re-validate each time.

Imported assignments overwrite existing data for the affected dates and roles. Double-check your spreadsheet for accuracy before importing.
Set up your roles, services, and team members in CallGrid before importing. The importer matches names and roles from your spreadsheet to existing entries, so everything needs to be in place first.
